
A Day in the Life of a Virtual Assistant
June 8, 2023 1:22 pmHave you ever wondered what someone else’s working day looks like? I am sometimes curious if other people’s working days look much different to mine, so I’m going to talk you through a day in the life of a Virtual Assistant.
Morning Campers!
I’m not really a morning person but I find that if I have woken up, showered and fuelled myself correctly, I am much more productive. When you work from home it is easy to fall into the pattern of rolling out of bed and working in your PJs.
First things first, coffee is made to take into my office and then I start on my To Do list. I look at what clients I have work for and prioritise. Next is a quick check of emails to make sure there is nothing urgent to deal with.
I like to work with deadlines for clients – they give me a piece of work and I ask when it needs to be done. I don’t allocate certain hours to clients (for example agreeing to work every Wednesday 10am – 3pm), I want my working life to be flexible. If I wake up at 4am and decide to start work and then finish early to go for one of my cold water dips, then I can!
Around 11am is usually Doggo Time. I make sure I take a break from the screen and take the dogs out to the forest so that they can have a run and I can get some fresh air and enjoy nature. Getting away from my screen and breaking from electronics is really important, especially when your working life if dictated by technology.
Choosing my Office.
One of the best things about being a Virtual Assistant is that I can work from anywhere. My office can be a cosy coffee shop, my kitchen table, the sofa and I often trundle to one of my favourite places in Wales so that I can work from there with the beach on my doorstep. When I left the corporate world and started working for myself, I vowed never to be chained to a desk. This flexibility allows me to design my own work environment and take breaks whenever I need to recharge.
Onto the juicy stuff—the tasks. Every day is a small whirlwind of diverse tasks and projects. From helping to prepare tax returns for a bookkeeper to designing and scheduling social media content for a painter and decorator – there’s never a dull moment. I have to be a master multitasker, juggling different responsibilities and managing my time to get the best for my clients.
Apps, Apps and more Apps.
Staying organised is incredibly important as a Virtual Assistant and I rely on lots of tools and apps to keep me on schedule. Some of these include:
· Hello Woofy – scheduling tool
· Trello – social media content approval
· Xero – accounting for both me and my clients
· Zoom – to keep in contact with clients and potential clients
· WhatsApp – for clients to sent me social media visuals
· Spotify – to keep me sane when I need some music to keep me going
By the end of the day I try my best to have ticked everything off my To Do list. If that hasn’t been possible, it’s not a stress – I take anything that hasn’t been completed and it goes straight onto the top of the next day’s To Do list.
The last thing I do is to review client projects to make sure they are on track and update any clients on anything they may need to know. Once that is wrapped up, the office door is closed until the next morning.
